1. Who we are
Tenvi Limited ("Tenvi", "we", "us") is a private limited company registered in England and Wales under company number 17510454. Our registered office is at 25 Middle Road, Park Gate, Southampton, SO31 7GH, United Kingdom.
We are the controller of the personal information described in this notice. That means we decide why and how it is used. You can contact us about anything in this notice at hello@tenvi.co.uk.
2. What this notice covers
This notice covers the website at https://tenvi.co.uk (the "site") and the enquiries you send us from it, for example by email.
It does not cover the Tenvi software products (Tenvi Lettings, Tenvi Care and the portals they provide). When an organisation uses a Tenvi product, the personal information inside it is processed under the agreement between that organisation and us, and that organisation is usually the controller of it. If you are a landlord, tenant, resident, member of staff or other person whose details are held in a Tenvi product by an organisation you deal with, please contact that organisation in the first instance.
3. The information we collect
Information you give us
When you email us or ask for a demo, we receive what you send: typically your name, email address, the organisation you work for, your role and the content of your message.
Information collected automatically
The site is a set of static pages served from a content delivery network. When your browser requests a page, the network records standard technical details of the request: the date and time, the page requested, your IP address, browser type and version, operating system and the page that referred you. These records are used only to keep the site running, secure and available.
The site does not use cookies, tracking pixels, analytics scripts or any form of advertising technology. See section 5.
4. How and why we use it
| Purpose | Information used | Lawful basis (UK GDPR Article 6) |
|---|---|---|
| Answering your enquiry, arranging a demo or discussing the products with you | Your contact details and your message | Our legitimate interest in responding to people who contact us, or steps taken at your request before entering into a contract |
| Keeping the site secure, available and performing properly, and investigating misuse | Technical request records | Our legitimate interest in running a secure, reliable website |
| Keeping records we are required to keep, and establishing or defending legal claims | Any of the above, as relevant | Compliance with a legal obligation, or our legitimate interest in protecting our legal position |
We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not sell it. We will only send you marketing if you have asked for it or where the law otherwise allows, and you can opt out at any time by replying to any message or emailing us.
5. Cookies and analytics
The site sets no cookies and stores nothing in your browser. We do not use analytics, session recording, advertising or social media tracking, so there is no cookie banner because there is nothing to consent to. If that changes, we will update this notice first and ask for your consent where the law requires it.
6. Who we share it with
We share personal information only with the service providers we need to run the site and the business, and only for the purposes above:
- Hosting and content delivery. The site is hosted on Amazon Web Services (Amazon Web Services EMEA SARL and its affiliates), which serves the pages and holds the technical request records described in section 3.
- Email. Messages you send us are received and stored by our email provider.
- Professional advisers such as accountants, lawyers and insurers, where necessary.
- Authorities where the law requires it, for example a court order or a regulator's request.
If Tenvi Limited is sold, merged or reorganised, personal information may be transferred to the new owner as part of that transaction, subject to this notice.
7. International transfers
The site is served from infrastructure in the United Kingdom and the European Economic Area, with content cached at edge locations worldwide to deliver pages quickly. Where personal information is transferred outside the UK, we rely on the UK's adequacy regulations or on the International Data Transfer Agreement or Addendum approved by the Information Commissioner, together with the safeguards our providers commit to. You can ask us for more detail about the safeguards that apply.
8. How long we keep it
- Enquiries: for as long as the conversation is live and then for up to 24 months, so that we can pick it up if you come back to us. If you become a customer, the information becomes part of our customer records and is kept for the life of the relationship and the period required afterwards for tax and legal purposes.
- Technical request records: up to 90 days, unless we need to keep a specific record longer to investigate a security incident.
9. Security
The site is served only over HTTPS. The files that make up the site are held in private storage that only the content delivery network can read. Access to our systems is limited to the people who need it, and we review the providers we rely on for the security they offer.
10. Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you and receive a copy;
- rectify information that is inaccurate or incomplete;
- erase your information in certain circumstances;
- restrict how we use it in certain circumstances;
- object to our use of it where we rely on legitimate interests, and to any direct marketing at any time;
- data portability, where we process information you gave us by automated means on the basis of consent or contract;
- withdraw consent at any time where consent is the basis we rely on, without affecting what was done before.
To exercise any of these rights, email hello@tenvi.co.uk. We may need to confirm your identity. We will respond within one month, or tell you if we need longer for a complex request. There is normally no charge.
11. Children
The site is intended for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 18.
12. Changes to this notice
We will update this notice when our practices or the law change. The date at the top shows the current version. Significant changes will be highlighted on this page.
13. Contact and complaints
Questions, requests and complaints about personal information can be sent to hello@tenvi.co.uk or by post to Tenvi Limited, 25 Middle Road, Park Gate, Southampton, SO31 7GH, United Kingdom.
If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office, the UK's supervisory authority for data protection: ico.org.uk/make-a-complaint, or by telephone on 0303 123 1113. We would welcome the chance to address your concern first.
